Press Conference Tips
Location
Hold your event at an easily accessible, central location. Be mindful of what a camera will see in the background when determining the site. The site should be well lit and an appropriate location for the subject (For example, if the speaker will talk about books inside the Library, do not hold the event outside the Library. It should be held inside where books can be seen in the background). Keep in mind that bright sunlight in a speaker’s face or directly behind the speaker will not produce a flattering photo.
Sound
Sound amplification will be necessary in larger gatherings. It is important that the media be able to hear the speakers at the podium so they know what is going on and are also able to use as a sound bite if necessary. If in doubt, have amplification available.
Branding Materials
Consider using branding materials featuring the College of Charleston wordmark such as signs, backdrops, banners and mic flags in order to maximize the media exposure for the College and its related programs.
Lecterns and Podiums
Consider the height of the lectern in relation to the height of the speaker(s). Also consider the lectern’s physical condition and make sure that power is available, if necessary, as well as appropriate lighting for the speaker’s notes.
Timing
Reporters are always on a tight deadline to submit articles for publication or for TV broadcast. It is recommended that events be held prior to 2 p.m. to allow time for reporters to write and submit news stories.
Interviews
Reporters will be interested in speaking to people following the event. Make sure that you have someone available to speak to the media. This may be a one-on-one interview with a particular reporter or one big interview with several reporters at the same time.
Questions
Reporters may need to reach an event organizer prior to the event for clarification, directions, or to notify the organizer that they are planning to arrive early or late. Reporter should be provided with the cell phone number of the appropriate contact person who can answer these questions.
