The purpose of the Student Employer Manual
is to provide all employers of College of Charleston students
the policies and procedures pertaining to student employment.
This manual is broken down into several sections detailing types
of employment, the hiring process, international student regulations,
taxation and student development programs. Section descriptions:
The Student Employment Contact
List provides users the names, email addresses,
phone numbers and physical locations of each office directly
involved in the student employment process.
To be used as a quick reference guide, the list of Frequently
Asked Questions provides all employers with answers
to common student employment questions.
Legal Issues in Student Employment
articulates federal as well as College policies
and procedures surrounding the Fair Labor Standards Act, Title
VII, Sexual Harassment and the Americans with Disabilities
Act.
Types of Employment
differentiates between the federal work-study, non-work study,
temporary employment opportunities and graduate assistantship
programs.
The section outlining Job Descriptions
and Classification Numbers breaks down the six
categories of jobs as recognized for College of Charleston
student employees. Complete job descriptions and wage ranges
are also included.
Posting Job Opportunities
details the steps necessary in posting a job via the web as
well as the posting service provided by the Career Center.
The Application and
Interview Process section guides employers through
the ever-important process of hiring the right student to
meet the needs of your department.
Hiring Student Employees
– Non-Work Study and Federal Work Study
includes information on the hiring process as well as the
proper documentation needed for all student employees.
Hiring Graduate Assistantships
outlines the specific steps involved in this process from
the award letter, assistantship stipends and the processing
of the Graduate Assistantship
Employment Approval Form (GAEAF).
International Student
Employment discusses regulations set by the IRS
and INS that are specific to international student employment.
Topics include types of documentation needed to prove employment
eligibility, how to complete the IRS Forms W-4 and 8233 as
well as the INS Form I-9.

Employment Approval Form and Graduate Student Employment Approval
Form takes employers through the step-by-step
process of completing a student's contract whether it is for
hire, change or termination. Examples of forms are provided.
The section on INS
and IRS Documentation breaks down various portions
of the IRS Forms W-4 and 8233 and the INS Form I-9. Information
is provided on the proper way to complete all of these forms
as well as acceptable documentation that may be used to verify
citizenship.
Timesheets and Pay
Checks thoroughly explains the record keeping
and payment process of all student employees including direct
deposit.
As employers, you are providing valuable work experience
and leadership to your student employees. Developing
Student Employees outlines various ways to help
foster your employees “work education” including
training methods, work expectations and evaluation.
Disciplinary Action
and Grievance Procedures are discussed in detail
should a student or employer decide to terminate employment
and/or file a complaint.
