Equal employment opportunities, determination of job classification,
hourly rates of pay and relevance of academic background are important
factors to consider during the hiring process.
The College of Charleston is an Equal Opportunity/Affirmative
Action employer. Students must be hired without discrimination
on the basis of age, race, sex, religion, creed, sexual preference,
handicap, disability, veteran status, ancestral origin or ancestry.
It is acceptable to hire students on the basis of sex only if
that factor is a legitimate occupational qualification for that
particular job (i.e. locker room attendant).
It is important to remember that student employees are not
to begin work prior to a Student Employment Approval Form (SEAF)
is submitted and approved by the Student Employment Programs
Coordinator.
Following are the steps involved in the hiring process. Please
note that all forms must be completed on the part of the hiring
department. If any information is lacking, the forms
will be sent back and processing will be delayed.
| 1. |
|
Student employees must complete an SEAF, IRS
Form W-4 (or 8233) and INS Form I-9. The signed SEAF, W-4
and I-9 (along with all copies of documentation) are to
be sent to the Career Center. |
| |
|
|
| 2. |
|
Once the completed paperwork has been received in the
Career Center, allow 3 working days for processing. Please
allow for more time during peak periods such as the fiscal
year change and the beginning of each semester. |
| |
|
|
| 3. |
|
Once the SEAF has been entered into the system, a copy
will be sent to the Budget Office. The student's assignment
will be set-up and the Personnel Assignment Status Sheet
(PASS) and timesheet will be generated.
The receipt of the PASS and the pre-printed timesheet
ensures that the student has been approved for employment. |

| 4. |
|
The pink copy of the SEAF will be sent back to the hiring
department and should
be placed in the student’s employment file. If you
do not receive the pink copy of
the SEAF, please contact the Student Employment Coordinator. |
Summer Employment
Students wishing to work on-campus during the summer months
are eligible as long as they have not graduated, are enrolled
for any summer session OR are enrolled for the following fall
semester. Students do not have to be enrolled in summer school
in order to work during this period.
Transfer students enrolled at the College just during the summer
term are only eligible to work during the session in which they
are enrolled.
Entering freshman are ineligible to work until their actual
matriculation takes place, either in the fall or spring semesters.
Fiscal Year Contract Accommodations
All student employment contracts expire on June 30th in order
to accommodate the change in fiscal year. Supervisors needing
to continue employment beyond this date are required to submit
a new SEAF with the proper supporting documentation beginning
July 1st.
